Record keeping Policy.

 

 

Records are any written documents which are kept in relation to the time the children spend at Pre-school. This includes       Registration form

                                                                   Information sheet

                                                                   First Aid Consent form

                                                                   Observations*

IEPs & Assessments, including                   home/school books*

                                                                   Diary with names of visitors

                                                                   Accident Book

                                                                   Incident Book.

 

ü    All records are confidential, they will only be seen by permanent members of staff or Ofsted Inspectors when necessary.

ü    All records are only kept on paper, not computer.

ü    Records are kept locked away when not in use.

ü    Records marked with * belong to the Parent/carer of each child. They may have access to these records at any time and may opt out of having Observations carried out on their child. These records will be given to the parent/carers at the end of their child’s time at Pre-school.

ü    No records, except those logged in the Incident Book, will be passed on to other agencies without the parent/cares written permission, as stated in the Confidentiality Policy.

ü    The Incident Book may be used by the Children’s Schools and Families Unit without parental knowledge if abuse is suspected.

ü    A record will be kept of all staff, children and visitors who attend the Pre-school each day.

 

This Policy should be read in conjunction with the Confidentiality Policy.

 

ü     We also keep a record of Risk Assessments and Fire Drills which any parent/ carer may see on request.
